Terms of Services

The rules and guidelines governing the use of Bookflow CC services.

1. Introduction

Welcome to Bookflow CC. By engaging our back-office bookkeeping processing services, you agree to comply with and be bound by the following terms and conditions. These terms govern the relationship between Bookflow CC (“we,” “us,” or “our”) and your accounting firm (“you” or “client”).

2. Scope of Services

Bookflow CC provides bookkeeping processing services exclusively for accounting firms using Xero and Hubdoc. Our services include document management, data capture, transaction coding, bank allocation, and trial balance preparation. We do not provide client-facing communication, financial advisory, tax interpretation, or tax submission services.

3. Client Responsibilities

You are responsible for providing timely and complete access to your clients’ Hubdoc and Xero accounts. You must ensure that all financial documents submitted for processing are accurate and legally obtained. Bookflow CC relies on the information provided and is not liable for errors resulting from incomplete or inaccurate source documents.

4. Confidentiality and Data Security

We adhere to strict confidentiality protocols and comply with all relevant South African data protection laws, including the Protection of Personal Information Act (POPIA). All client data processed by Bookflow CC remains strictly confidential and will not be shared with third parties without explicit consent, except as required by law.

5. Pricing and Payment

Our services are billed on a monthly subscription basis according to the transaction volume package selected (Starter, Growth, Scale, or Enterprise). Invoices are issued at the beginning of each billing cycle and are payable within 7 days. Failure to remit payment may result in the suspension of services.

6. Limitation of Liability

While we strive for the highest level of accuracy, Bookflow CC’s liability for any errors or omissions in the processed books is limited to the correction of such errors. We are not liable for any indirect, incidental, or consequential damages arising from the use of our services. The final review and approval of the trial balance remain the responsibility of your accounting firm.

7. Governing Law

These Terms of Service shall be governed by and construed in accordance with the laws of the Republic of South Africa.
